At UDOOH, we understand the importance of privacy and security in the Out-of-Home (OOH) advertising industry. Our commitment to protecting your data is at the core of our business practices. This document outlines our approach to privacy and security for our operations in India.

UDOOH is a brand of Unikrish Technologies Private Limited. For the purposes of the Digital Personal Data Protection Act, 2023, Unikrish Technologies Private Limited is the Data Fiduciary responsible for the personal data described in this policy. This policy applies to our websites at udooh.com and udooh.in, to the outlet pages we host on our subdomains, to the forms made available at partner outlets, and to the WhatsApp messages we send and receive.

Data Collection and Usage

Our hyperlocal OOH advertising solutions rely on the collection and processing of specific data to deliver targeted and effective campaigns. This includes customer-provided audience networks comprising both customers and prospects, location data for proximity-based targeting to OOH screens, and campaign performance metrics. We utilize this information exclusively for the purpose of executing targeted advertising campaigns and enhancing our services within the Indian market. Our data collection practices are designed to balance the need for effective advertising with respect for individual privacy, in accordance with Indian data protection norms.

Data collected from customers at partner outlets

Where a customer of a partner outlet chooses to fill in a form made available by UDOOH at that outlet, whether through a printed code, a screen or an online page, we additionally collect:

This data is used to confirm that an entry is genuine, to issue and validate reward codes and offers, to send messages relating to a benefit the customer has asked for, to allow the partner outlet to recognise and serve its own customer, to prevent duplicate claims and misuse, and to understand in aggregate how our formats and offers perform.

We do not collect payment card details or identity documents from customers at outlets. We do not sell personal data, and we do not share a customer's mobile number with advertisers or brands. Advertisers receive only aggregated, non-identifying campaign performance information.

Processing is carried out on the basis of the consent given at the time a form is submitted or a message is sent to us, and for the legitimate uses permitted under applicable law, such as the prevention of fraud. Submitting a form or sending us a message is a voluntary act; merely scanning a code or viewing a page is not treated as consent.

Messages we send

We message a customer on WhatsApp only in connection with a benefit, code, confirmation or reminder that the customer has asked for. A customer may stop these at any time by replying STOP, by blocking the number, or by writing to us at support@udooh.com.

Disclosure to partner outlets and cross-promotion

A partner outlet receives the entries submitted at its own outlet, so that it can honour the offer and serve the customer. It does not receive data collected at any other outlet. Where a partner outlet offers a benefit redeemable at a different, non-competing outlet nearby, we share with that second outlet only what is required to honour the offer, and only once the customer chooses to redeem it.

Processors we rely on

We share personal data with service providers who process it on our instructions, including our hosting and cloud providers and Meta Platforms, through whose WhatsApp Business Platform our messages are delivered. We also disclose data where required to do so by law.

Retention

We retain verified contact details for as long as a customer remains an active participant in our programmes and for a reasonable period afterwards to prevent duplicate claims. Unverified form entries are deleted within a short period. Reward codes and their redemption records are retained for the life of the code and for our accounting records. Where data is no longer required for the purpose for which it was collected, it is erased.

Children

Our forms and customer programmes are intended for adults. We do not knowingly collect the personal data of a child. Where we are informed that a child's data has been submitted, we will erase it.

We maintain an active stance on regulatory compliance, regularly reviewing and updating our practices to align with the Information Technology Act, 2000, recommendations of the Telecom Regulatory Authority of India (TRAI), the Digital Personal Data Protection Act, 2023, the rules made thereunder, the subsequent amendments, as well as any forthcoming data protection legislation in India. We believe in empowering our clients with transparency and control over their data, in line with Indian privacy norms. To this end, we offer customizable privacy settings that allow clients to tailor their data sharing preferences according to their specific needs and comfort levels. We provide options for managing audience network data, giving clients the ability to update, modify, or remove information as needed. Additionally, we maintain clear and comprehensive audit trails of system access and changes, ensuring that all interactions with client data are traceable and accountable, adhering to Indian legal requirements for data handling and storage.

Rights of individuals

Any individual whose personal data we hold may ask us for access to that data, ask us to correct anything inaccurate or incomplete, ask us to erase it, or withdraw the consent previously given. An individual may also nominate another person to exercise these rights on their behalf. Withdrawal of consent stops future messages and offers but does not affect anything lawfully done before withdrawal. Data Accuracy and Reporting

Accuracy in reporting is crucial in the OOH advertising industry, particularly for Proof of Play and campaign performance metrics in the Indian market. We regularly audit our reporting mechanisms to maintain their integrity and reliability, giving our clients confidence in the accuracy of our performance metrics and financial information.

We implement robust measures to ensure that only authorized and appropriate content reaches our OOH screens. This includes multi-level authentication protocols. We operate on a principle of least-privilege access control for our staff, limiting content manipulation capabilities to only those employees whose roles necessitate such access. Furthermore, we maintain comprehensive audit trails of all user access and actions related to content management, providing a clear record of all interactions with advertising materials.
